Privacy Policy

This Privacy Policy explains how Needham Tech Studio (“we,” “us,” or “our”) collects, uses, and shares information when you visit our website, submit forms, use the chat widget, view demos, or complete the Client Agreement and payment process.

1) Information We Collect

A. Information you provide

  • Contact form: name, email, project type, and your message.
  • Client Agreement: name, business name (optional), email, phone, estimated dates, and your signature (captured as an image).
  • Support communications: messages you send to us by email or other channels.

B. Payment information

Card payments are processed by Stripe. We do not receive or store your full card number. Stripe may collect payment method details and related identifiers. If you choose an offline method (cash/check/ACH), we may record the payment method and status in our systems.

C. Automatically collected information

Like most websites, we may receive basic technical data (e.g., IP address, device/browser type, pages viewed, and approximate location derived from IP). We also use basic anti-bot measures in forms (e.g., a hidden field and timing checks) to reduce spam.

2) How We Use Information

  • To respond to inquiries and communicate with you about your project.
  • To generate and store Client Agreements and related project records.
  • To create payment sessions, invoices, and customer records (e.g., in Stripe).
  • To provide maintenance, support, updates, and security improvements.
  • To prevent fraud, spam, abuse, and unauthorized access.
  • To comply with legal and accounting obligations.

3) How We Share Information

We do not sell your personal information. We share information only as needed to operate our services, including:

  • Stripe (payments): to process payments, create invoices, and provide a customer portal.
  • EmailJS (email delivery): to send form submissions and agreement-related emails.
  • Hosting/infrastructure providers: to store and serve the site and application data.
  • Service providers/contractors: if needed to deliver your project, under appropriate confidentiality.

4) Data Retention

We keep project records (including agreements and related communications) as long as reasonably necessary for business operations, accounting, legal compliance, and support. If you request deletion, we will consider your request, but we may need to retain certain information for legal/financial reasons.

5) Security

We take reasonable measures to protect your information. However, no method of transmission or storage is 100% secure. Please use caution when sending sensitive information by email.

6) Your Choices

  • Access/updates: You can request corrections to your information by contacting us.
  • Deletion: You may request deletion of certain personal information, subject to legal/business retention.
  • Payments: You can update payment methods using the Stripe billing portal when available.

7) Children’s Privacy

Our website and business services (contact forms, Client Agreements, payments) are not directed to children under 13, and we do not knowingly collect personal information from children through those channels. Our kids and family mobile apps are designed for children of all ages — see the dedicated "Kids & Family Game Apps" section below for full details on how we handle children’s privacy in those products.

8) International Visitors

If you access our services from outside the United States, your information may be processed in the United States where data protection laws may differ from those in your location.

9) Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date above will reflect the latest changes.

Usher Scheduler Pro — Mobile & Web App

Usher Scheduler Pro ("the App") is an internal scheduling and communication tool operated by Needham Tech Studio on behalf of church usher teams. Access is by invitation only; accounts require administrator approval. The following section describes data practices specific to the App.

A. Data We Collect

  • Account information: name, email address, and phone number provided at registration.
  • Profile photo: an optional photo you upload to your profile.
  • Schedule & availability: shift assignments and availability preferences you or an administrator enter.
  • Chat messages: messages sent within the App's team chat channels, stored on our servers.
  • Device identifiers & push tokens: device push notification tokens used solely to deliver in-app notifications to your device.
  • Usage data: basic server logs (request timestamps, endpoints accessed) used for security and performance monitoring.

B. How We Use Your Data

  • To manage usher scheduling, shift assignments, and availability tracking.
  • To send push notifications about schedule changes, announcements, and chat messages.
  • To display your name, photo, and contact information in the team directory (visible to other approved members).
  • To maintain an audit log of administrative actions for security and accountability.
  • To respond to support requests and maintain the security and integrity of the App.

C. How We Share Your Data

We do not sell your personal information. Data is shared only as necessary to operate the App:

  • Other approved team members: your name, photo, and contact information are visible in the team directory to other approved users in the same organization.
  • Expo (push notifications): device push tokens are transmitted to Expo's push notification service (exp.host) to deliver notifications.
  • Firebase / Google: used for push notification delivery on Android and iOS devices.
  • Hosting/infrastructure providers: data is stored on servers provided by Render (hosting) and MongoDB Atlas (database).

D. Data Retention

Account data is retained for as long as your account is active. If your account is removed by an administrator or at your request, your personal data will be deleted from the active database. Audit log entries may be retained for a limited period for security purposes.

E. Push Notifications

The App requests permission to send push notifications. You may revoke this permission at any time in your device's system settings. Revoking permission will not affect your ability to use the App, but you will no longer receive push alerts for schedule changes or messages.

F. Your Rights

  • Access & correction: you may update your name, phone number, and profile photo within the App at any time.
  • Deletion: contact your organization's administrator or email jneedham@needhamtechstudio.com to request account deletion.

G. Children's Privacy

The App is intended for adult members of church usher teams and is not directed to children under 13.


Kids & Family Game Apps (Science Quest, Math Quest, and similar titles)

Needham Tech Studio develops educational game apps designed for children of all ages, including children under 13. This section describes our data practices for those apps and our compliance with the Children's Online Privacy Protection Act (COPPA) and applicable app-store family policies (Apple Kids Category, Google Play Families).

A. Our Commitment to Children's Privacy

We take children's privacy seriously. Our kids apps are designed to be safe for young players:

  • We do not collect, transmit, or store personally identifiable information (PII) from children without verifiable parental consent.
  • We do not serve behavioral advertising or interest-based ads of any kind.
  • We do not require account creation, login, or registration to play.
  • We do not include social features, chat, or direct messaging.
  • We do not share children's data with third parties for advertising or marketing purposes.

B. Data Collected (On-Device Only)

Game progress, selected buddy characters, difficulty preferences, achievements, and settings are saved locally on the player's device using the device's built-in storage (AsyncStorage). This data never leaves the device and is not transmitted to our servers or any third party.

C. Age Gate

On first launch, our kids apps display an age-gate screen. Players who indicate they are under 13 are directed to a parent/guardian to review this policy before continuing. We rely on this mechanism in conjunction with app-store parental controls to limit use by young children to parent-approved contexts.

D. Text-to-Speech (Voice Features)

Some apps use a text-to-speech (TTS) service (ElevenLabs) to read quiz questions and encouragement aloud. Only the text of the question or phrase is sent to the TTS API — no player name, age, location, device ID, or other personal information is included in these requests. Audio is cached locally on the device after first use to minimize repeated API calls. Parents may disable voice features at any time within the app's Settings screen.

E. Third-Party Services Used in Kids Apps

  • Expo / React Native (app framework): used to build and deliver the app. Expo may collect crash diagnostics and basic usage telemetry for app stability. No PII from children is collected. See expo.dev/privacy.
  • ElevenLabs (text-to-speech, if enabled): receives only the text string to be spoken. No personal data is transmitted. See elevenlabs.io/privacy.
  • Apple App Store / Google Play: the platform may collect device-level analytics subject to their own privacy policies. Needham Tech Studio does not receive individual-level data from these platforms.

We do not integrate advertising SDKs, analytics SDKs, or social media SDKs into our kids apps.

F. Parental Rights (COPPA)

Parents and guardians have the right to:

  • Review any personal information we may have collected from their child (we do not collect any, but you may request confirmation).
  • Delete all locally stored game data by uninstalling the app, or by using the "Reset Progress" option within Settings if available.
  • Refuse further collection by uninstalling the app. Since we do not collect personal information, there is nothing further to opt out of on our end.
  • Contact us with any privacy concern related to their child's use of our apps.

To exercise any of these rights or ask questions, email jneedham@needhamtechstudio.com with "Kids App Privacy" in the subject line. We will respond within 30 days.

G. Changes to Kids App Privacy Practices

If we ever change our data practices in a way that involves collecting personal information from children, we will obtain verifiable parental consent before doing so, as required by COPPA. Any such change will also be reflected in an updated version of this policy with a new "Last updated" date.
